Why Your Office WiFi Is Terrible (And What to Actually Do About It)

It's probably not your internet provider's fault. It's almost certainly your router's fault.

Every small office has the same complaint at some point: the WiFi is slow. Pages take forever to load. Video calls freeze. The connection drops for no reason, usually right in the middle of something important.

The instinct is to blame your internet provider. And sometimes they are the problem. But in our experience working with small offices across LA, the internet connection itself is fine about 80% of the time. The problem is everything between your internet connection and your devices.

Here's what's actually going on and what to do about it.

You're using a consumer router in a commercial environment

This is the single most common problem we see. Someone went to Best Buy, bought a $120 router that promised "blazing fast speeds for the whole home," plugged it in and called it done.

That router was designed for a family of four streaming Netflix. It was not designed for an office with 15 people running cloud applications, VoIP phones, video calls and a dozen IoT devices simultaneously.

Consumer routers have limited processing power, limited memory and limited ability to handle many simultaneous connections. When your entire office is connected to one consumer router, it's overwhelmed. That's not a WiFi problem it's a capacity problem.

A commercial grade access point costs $200 to $500 per unit and is designed to handle exactly this scenario. It's one of the highest impact, lowest cost upgrades a small office can make.

Your router is in the wrong place

WiFi signals degrade with distance and obstacles. Walls, filing cabinets, concrete pillars, microwave ovens all of it weakens your signal.

If your router is tucked in a server closet in the corner of your office, the people on the other side of the building are getting a fraction of the signal strength. They're connected, technically, but the connection is slow and unreliable.

Proper placement matters. In most small offices, one or two well placed commercial access points mounted on the ceiling, centrally located will cover the entire space better than three consumer routers tucked in corners.

You have zero network segmentation

Here's one that almost no small office thinks about: every device on your network is sharing the same pipeline. Your office computers. Your employees' phones. The smart TV in the break room. The security cameras. The guest who's sitting in your lobby streaming a podcast.

When all of that traffic shares one network, everything slows down. Your property manager trying to process a payment in AppFolio is competing for bandwidth with the Ring doorbell uploading video continuously.

The fix is network segmentation separate networks for different purposes. A primary network for business devices. A separate network for phones and personal devices. A guest network that's isolated from everything else. A dedicated network for IoT devices like cameras and sensors.

This isn't complicated to set up. It's basic network design. But someone has to actually do it.

Nobody is managing your network

This is the underlying issue behind all of the above. Your WiFi was set up once maybe by your internet provider, maybe by a previous IT person, maybe by whoever was available and nobody has touched it since.

Networks aren't set and forget. Firmware needs updating. Channel congestion changes as neighboring businesses add their own networks. New devices get added. Old devices stay connected and consume resources nobody realizes they're using.

A managed network means someone is monitoring performance, updating firmware, adjusting settings and making sure your office connectivity keeps pace with your needs. It's not glamorous work, but it's the difference between "our WiFi works great" and "our WiFi has always been terrible."

The fix is simpler and cheaper than you think

For most small offices, the full solution is: one or two commercial access points, properly placed. A managed switch if you have more than a handful of wired devices. Network segmentation so business traffic isn't competing with everything else. And someone who actually monitors and maintains it.

Total cost for the hardware is usually $500 to $1,500. Setup takes a few hours. And the difference is immediate faster connections, fewer drops, happier employees.

If your team has accepted slow WiFi as a fact of life, it doesn't have to be. This is one of the easiest problems to solve.
