How We Moved a 30 Person Office to the Cloud in a Weekend (Without Losing a Single File)

Friday at 6 PM they were on old servers. Monday at 8 AM they were fully cloud based. Here's how it happened.

When a 30 person property management company in the San Fernando Valley called us, they had a problem they'd been ignoring for two years: their entire operation ran on a server in a closet. Not a server room an actual closet. No redundancy, no offsite backup and a fan duct taped to the door for cooling.

They knew it was a risk. But the thought of migrating everything files, email, their AppFolio integrations, all of it felt impossible without shutting down for a week. And a property management company can't shut down for a week. Tenants don't stop calling because you're upgrading your servers.

The plan

We built the new cloud environment Microsoft 365, SharePoint for files, proper Azure AD for identity management and tested it quietly while their team worked normally on the old system all week.

By Friday at 5 PM, everything was staged and ready.

The migration

Friday evening, our team began syncing files from the local server to SharePoint. We're talking about 15 years of documents: leases, contracts, maintenance records, photos, scanned forms. Hundreds of thousands of files.

While that ran overnight, we configured every workstation to connect to the new cloud environment. New login profiles. New mapped drives. New printer connections. Every machine was touched, tested and verified.

Saturday was troubleshooting day. We found what we expected to find: a few legacy apps that didn't play nicely with the new setup, a handful of obscure file paths that needed redirecting and one scanner that simply refused to cooperate until we updated firmware that hadn't been touched since 2019.

Sunday was testing. We logged into every machine as every user. We opened files. We printed. We accessed AppFolio. We ran through the workflows their team does daily: pulling reports, emailing tenants, processing payments. Everything worked.

Monday morning

At 8 AM, their team walked in. New login, same experience except now their files were accessible from anywhere, their email was modern and mobile friendly, and their data was backed up automatically to the cloud with geographic redundancy.

One employee told us she didn't realize anything had changed until she noticed she could pull up a lease document from her phone for the first time.

That's the goal. Not a dramatic before and after. Just a seamless transition from "this is held together with duct tape" to "this just works."

The result

Zero files lost. Zero downtime during business hours. A fully documented cloud environment that three team members can support, not one closet server that only one person understood.

And the closet? Last we heard, it's storing office supplies now. Which is what closets are for.
